Player Management Guide

Keep every player's info, history, and preferences in one secure, searchable directory.

9 min lecture Step-by-step guide

Introduction: Your Centralized Player Database

The Player Management module (shown as Guests in the app) is your single source of truth for everyone who plays at your cardroom. It replaces scattered spreadsheets and notepads with one searchable directory where you can register, profile, segment, and review the game history of every player.

Good to know: "Guest" and "Player" are the same thing. The main hub is labeled Guests, while PokerDesk, the cashier's Player Directory, and the help section all call it Player Management. They are one shared database.

The Player Directory

Open the Guests tab to see your full player directory. From here you can search, add, and dig into any player's record.

Searching for a Player

  1. Tap the Search icon at the top of the directory (the field shows the "Search..." placeholder).
  2. Type a name or phone number to filter the list instantly.
  3. If nothing matches, you'll see "No Matches" — try adjusting your search terms, or add the player as a new entry.

Finding Active Players Fast

For large rooms, scrolling the directory is slow. A faster path is the cross-player summary:

  1. Tap the More Options icon on the directory screen.
  2. Choose Gameplay Summary.
  3. Use "Search player name..." with the Filter icon to narrow by recent play or stakes.
  4. Tap any row to jump straight into that player's profile.

Adding a Player

Register a new player in a couple of steps from the directory.

Step 1: Open the Form

Tap the Add Guest floating button. The form titled Add Guest opens.

Step 2: Enter Personal Details

Under the Personal Details section, fill in:

  • First Name and Last Name
  • Email, City, and Phone number
  • Do Not Disturb (DND) — toggles off marketing, calling campaigns, and standard notifications for this player

Optionally tap Scan QR to pre-fill the player's details from a membership/loyalty QR code.

Step 3: Verify the Phone (If Enabled)

If phone verification is on for your cardroom, the primary button reads Next and moves you to the Verify Phone step:

  1. Tap Send OTP to text a one-time code to the player.
  2. Enter it and tap Verify OTP (or tap Skip if verification can be done later).

If verification is off, the button simply reads Add. On success you'll see the "Guest added successfully" confirmation.

The Player Profile

Tap any player card to open their profile. The compact view shows quick actions and an Options menu. Tap Full Details for the complete multi-tab record.

Quick Actions

From the compact profile you can: Call, Message, view Member status, apply a Label, Link P360, review KYC docs, arrange Transport, or Verify identity.

Options Menu

The Options menu lets you Edit the record, open Full Details, View Entry History, Ban Guest / Unban Guest, and Delete the account (a permanent, irreversible action).

The "Info" Tab

In Full Details, the Info tab organizes the player record into sections:

  • Personal Details and Contact & Location
  • Loyalty & Membership status
  • Tags & Labels
  • Administration — showing KYC Verified / Phone Verified badges
  • Addresses with an Add Address action
Pro-Tip: Use Edit Photo on the profile to update or remove the player's picture. Missing tabs or actions usually mean your subscription tier or staff role doesn't include that feature — check plan/role settings before assuming something is broken.

Player Flags

Flags let you mark players for special attention from the profile or the guest list menu:

  • Ban Guest — prevents the player from entering the cardroom. A banned player shows a BANNED status pill on their profile. Use Unban Guest to restore access.
  • Labels — apply custom tags (e.g. VIP, needs assistance) via the Label action or Manage Labels.
  • Delete — the Permanent Delete dialog warns that this removes the account and all associated data and cannot be undone.

Game History & Stats

A player's full activity is captured across several tabs inside Full Details, plus dedicated stats screens.

Per-Player Sessions

Open the Sessions tab for a list of every session the player has played. Tap an entry to open Session Details, which shows the Table, Game, Stakes, Dealer, and Start time. If there's no session attached, you'll see "No associated session data found."

Activity & Detailed Activity

The Activity tab gives a timeline of the player's events. For deeper filtering, open Detailed Activity where you can use Filter Events to narrow by type or date. An empty view shows "No history matches filters."

Player Stats

The Player Stats screen surfaces a Performance Overview with Total Play Time, Total Sit Out, Session Play Time, and a Time Distribution breakdown. If there's no data for the selected period it reads "No session data found for this player in the selected period."

Cross-Player Analytics

From the directory's More Options menu, Gameplay Summary and Guest Analytics let you compare players across the room, filter by KYC Status or Phone Status (All / Verified / Pending), and spot your most active players at a glance.

KYC Management

Know Your Customer (KYC) verification helps you comply with regulations and build trust.

  1. Open the player's profile and go to the KYC tab.
  2. Upload identity documents (e.g. Aadhaar, PAN card, passport) via the upload screen.
  3. Use the Player KYC document list and viewer to review, verify, or reject uploads.
  4. The KYC Verified badge on the Info tab reflects the current status, and KYC status can be used as a filter in cross-player analytics.

Player Cards

Virtual player cards provide quick identification and tracking:

  • Each player receives a unique card ID, viewable under the Cards tab of their profile.
  • Cards can be scanned via QR code for quick check-in using the Scan QR action on the Add Guest form.
  • Card status (active, suspended, expired) is managed from the profile.
  • Link physical cards to player accounts for seamless floor operations.

Player Kiosk

The Player Kiosk is a separate self-service device surface for players. On a tablet or kiosk at your front desk, players can:

  • Register as a new player and check in
  • View live tables and waitlists
  • Check the leaderboard and tournament lobby
  • View their profile, loyalty status, and upcoming events
  • Submit feedback

The kiosk is the player-facing companion to the staff Player Management module.
